How to setup an email signature in Postbox on Mac

We've spent the past few months developing a brand new signature installer app for macOS which works with all of the major email clients including Postbox for Mac. By using the signature installer app, you will be able to easily install your email signature in the following email clients:

  • Apple Mail (El Capitan and newer)
  • Outlook for Mac 2016
  • Outlook for Mac 2011
  • Postbox
  • Thunderbird for Mac

Installing your email signature with our app takes just seconds. You simply select your email client and email account, then enter your unique signature key or insert your custom HTML code and the installer app will install your email signature into your desired email client for you.

Not only does the signature installer app install your email signature for you, it will also automatically update your email signature whenever any changes are made to your email signature from your account. This is only applicable if using your signature key.

Before following the below instructions, you must have the ESR Signature Installer App installed. If you do not yet have it installed, you can download it from the Before you start section above.

Installing your email signature in the signature installer app

Step One

Open the ESR Signature Installer app and click the Add New Email Signature button.

Select your Postbox email client.

Select the email account you want your email signature to be installed for.

Paste your email signature key and click Save Key. If you have HTML code instead of a key, click Advanced Settings, paste in your HTML code and click Save.

Step Five

Once you click Save Key, your email signature will be installed within Postbox for Mac. Simply compose a new email and your signature will automatically be inserted!

IMPORTANT: Do NOT use Safari during the installation process as it may cause formatting issues. Copy your email signature from Google Chrome or Mozilla Firefox instead.

Step One

Open Postbox for Mac.

From the top menu, select Postbox then Preferences...

From the Preferences window you will see several tabs across the top. Select Accounts then from the left side in Accounts, expand your mail account and select Identity.

With your Identity settings open, select the Edit... button down next to Signature.

A new signature window will open up to paste your email signature but first we need to copy it.

Step Five

Now we want to open our email signature. If you have had your email signature sent to you, simply open it in your web browser. If you have logins to your Email Signature Rescue account, select Full Screen Preview on your signature from your dashboard.

Now that you've opened your email signature, press Command + A to select all, then Command + C to copy the email signature.

Step Six

With your email signature copied, switch back to Postbox for Mac, click into your signature window and press Command + V to paste.

Step Seven

Now that your signature has been pasted into your settings, all you have to do is close out of preferences and start emailing! Compose a new email and you'll see your email signature inserted each time you send an email from that account.

NOTE: When you paste your email signature and start composing a new email, you will see the table/cell outlines. Ignore this as it won't display when your signature is actually sent.

I'm experiencing issues with the ESR Signature Installer App

Although we've thoroughly tested it, the ESR Signature Installer App is still in BETA so it's possible that you may experience some issues. If you do come across any issues when using the app, please get in touch with our friendly support team.


My images are stacked under one another instead of side-by-side

This issue occurs when copying your email signature from Safari. If you're experiencing this, you will need to open your email signature's HTML file in Google Chrome or Mozilla Firefox (or be logged into your Email Signature Rescue account using Chrome or Firefox if copying from Fullscreen Preview) then copy the signature from there.


My email signature doesn't look right when I paste it or send an email

More than likely, you have used your mouse to highlight the html email signature file in the browser. Don't use your mouse, only use Cmd + A (hold the Cmd key and press A at the same time) to select all of your email signature. If you use your mouse, you may miss out on some of the vital code needed to make your signature work correctly.

Another cause to this could be that you've used Safari to copy your email signature from and not Google Chrome or Mozilla Firefox. Using Safari will cause formatting issues. To resolve this, install Google Chrome or Mozilla Firefox from our Before You Start screen and copy your signature from one of these browsers instead.


I am composing an email and I can't click on any links or social media icons

In compose mode, most email programs won't allow you to use the links in your email signature. Check to see if your email signature has been installed correctly by sending a test email to yourself instead. The links and social media icons should work when you receive the email.

  • If you are an Email Signature Rescue member and are logged into your account, you can find your key on your dashboard.
  • If you have been emailed your signature key, go to the email and you'll find your 12 character key there.
  • If your email signature is managed by an account administrator or reseller, please get in touch with them and have them supply you with your signature key.
