How to roll out your new HTML email signatures for all your employees
Would you like to setup new HTML email signatures and roll them out to all your employees and staff? Standardize HTML email signatures for all your employees and install them across over 45+ major email clients, easily and quickly using Email Signature Rescue.
Step One: Login to your account
Login to your Email Signature Rescue account.
Step Two: Upload Default Images
Once logged in, on the Dashboard you will see a tab that says "Default Images" - click this and upload your company logo into the Primary image position. Now you can use this logo on all email signatures you create, in the next few steps. If you have any banner images for the bottom of you signatures, you can upload these here too.
TIP: Want to add a profile photo or headshot of each employee into their HTML email signature? You can do this for each signature, by adding an image when creating the signature.
Step Three: Create your first signature
Now that you have added your default images, create your first HTML email signature for an employee by pressing the green Create Signature button on your Dashboard.
In the modal, enter your employee's name, email address and select a starter template. Don't worry, you can change and preview other the templates while editing the signature later.
Step Four: Customize your first signature
Now you're in the email signature editor. Here you can create your first email signature. Design it as you would like it for all employees.
On the images tab, be sure to select the Default Image to use the logo you uploaded in Step Two.
If you want to add a profile photo of each employee, upload it to the Secondary Image position and select "Use this image".
Step Five: Duplicate signatures for multiple employees
When you are happy with the design and look of your new HTML email signature for your first employee, head back to the Dashboard.
Now you can continue creating the rest of your employee's email signatures using the email signature you just created as a template. "Duplicate" the email signature on the Dashboard to create a new email signature.
A modal will pop up. Enter the next employee's name and email address. This will duplicate the email signature you just created and create an exact copy of the one you just made for the next employee. You can change the profile photo and any other details in the editor.
Step Six: Roll out to your employees
When you've finished creating all your employee's email signatures, you can send the employees their HTML files or API Keys for installing their new HTML email signatures in their email clients.
Simply press "Email All HTML Files" or "Email All Keys" from the Dashboard to email instructions to all your employees instantaneously on how to install their email signatures for their particular email client(s).
If using the HTML file to install, it's usually a simple copy and paste into their email client's signature settings. If using the API key, the employee will need to download our installer app or extension from our website, run it and the software will install the email signature into their email clients for them.
Step Seven: Future editing from your Dashboard
If your employees install their signatures using API keys, all future edits that you make to the signatures from the Email Signature Rescue Dashboard, will automatically be applied to their signature, installed in their email client.
If your employees install by copy and pasting the signature directly into their email client, they will need to reinstall the HTML when you make future edits.
