Open your HTML email signature file in your web browser.
Press Ctrl + A to select the entire email signature, then press Ctrl + C to copy it.
IMPORTANT: Do not use your mouse to select the area, only use Ctrl + A as you may miss out on grabbing some of the code.
Open Outlook and select the Settings cog at the top right of your screen.
Select Accounts, then Signatures.
Enter a name for your email signature, then click inside the signature's text field below and press Ctrl + V to paste your copied email signature. Click Save.
At the bottom of the window, set your email signature as default for New Messages and Replies/Forwards. Click Save again.
Close out of your Settings and compose a new email. Your email signature will now automatically insert when composing emails in Outlook Office 365 on Windows.
Follow these instructions first to install our Outlook Add-In
Can't access Add-Ins? Add-Ins are only supported with paid Microsoft 365 accounts. If you are using a free mail account, or have imported another mail type like Gmail or IMAP then you will not be able to use our Outlook Add-In.
Grab your Signature Key from the email sent to you by your Admin, or on the Email Signature Rescue Dashboard, and copy it.
Open Outlook and compose a new email, then select the Message tab at the top if it isn't already open. From the Add-Ins menu ribbon, you should see the pink logo for Email Signature Rescue. Select this to open the Add-In.
(If you don't see the Email Signature Rescue ribbon, go to Classic Ribbon layout instead and make sure to pin the icon to your toolbar - see images below.)
Wait a moment for the Add-In to load, and click on the Add Signature button in the top right of the Add-in panel. Give your signature a short name, paste in your Signature Key and assign an email address (optional). Click Add Signature at the bottom to save your Key and install your signature.
Once installed, you will now see the short name you gave your signature, click on the name to open the signature options. You can toggle on/off auto-inject to add the signtaure into new, reply and forwarded emails.
You have now succesfully installed your signature. To use your signature, you need to have the Add-In panel open while composing a new email, replying or forwarding an email. Click on the Email Signature Rescue ribbon to open the Add-In panel. For security reasons, Microsoft requires explicit user action, like opening the add-in panel, before making modifications to email content.
What's changed? The Add-in now auto-injects your HTML email signature into new emails, replies or forwards based on toggle settings, when you press the Email Signature Rescue Ribbon and open the Add-in Panel from your toolbar. This is a much better experience for users compared to our previous Add-in which required several key presses to inject the signature, now you only need one. Our previous Add-in also did not have settings to auto-inject based on New, Reply and Forward emails.
