How to create an email signature
There's an art to creating the perfect email signature. If everybody knew how to create an email signature, it would benefit not only their own business, but the clients and customers that are receiving the email signature. Unfortunately, it's not as easy as it seems.
Creating an email signature is a lot more complicated than it sounds. First, we will explain how to create an email signature and then we will tell you how we can help you achieve the perfect email signature in under five minutes using Email Signature Rescue.
There's a few things that go into creating an email signature:
First, you need to design the signature
Think about the design and layout of your signature as you would like it to show. You could design this in a program like Photoshop, or if you want to code the signature you could draw up a sketch on a piece of paper instead. Include where your name, title and contact details will go. Think about where to place your image(s) or logo and if you want to include links to your social network pages like Facebook and Twitter, you will need to include these too. You will need to find some free or paid social icons or you can use text-based links, or if you're really design-savvy, you can design icons yourself. If you need a legal disclaimer, this will probably go at the bottom of the signature.
Next, code the signature in HTML
Turn your design into HTML code by creating your email signature using any HTML writing software you have, like Notepad, Dreamweaver or TextEdit. You'll need to code the HTML signature as you would for a HTML email, using tables not divs.
Upload all images to a web server
When you have finished creating your email signature in HTML, you will need to upload the images you want to include in your email signature to a web server. You need to link to these images in your HTML using the full URL path to where the images are hosted on your web server. If you don't host your images on a web server, they could show as attachments instead or they may not show at all in some email clients.
Now you need to install your HTML signature in your email client
Last, but not least, you need to test the HTML signature for compatibility across all major email clients
What's the point in creating a great HTML signature that doesn't work across all major email clients. Recipients of your emails (or your clients) want to see a professional signature showcasing the business, not a jumbled mess. Test your email signature works across all major email clients. You'll probably find when testing that more than a few things can go wrong and spend a few hours, days or even weeks, bug fixing your HTML signature's code.
But then again, why would you do all of this when we've already done all the hard work for you?
Even the most highly skilled coders run into problems creating HTML signatures that are cross compatible with all major email clients and look professional! If you don't work with HTML signatures every day like we do at Email Signature Rescue, it's hard to know what will work and won't work throughout all the different email clients.
